TERMS AND CONDITIONS

1. RATES & ACCOMMODATION

• All rates are in AUD and include taxes. Prices are per property, per night.
• Rates cover accommodation only. For guest capacity details, contact [email protected].
• Rates are subject to availability and seasonal pricing. High, mid, and low seasons apply, along with blackout periods.

2. BOOKINGS & PAYMENT TERMS

• Check-In & Check-Out:
  • Check-in: From 3:00 PM
  • Check-out: By 10:00 AM (late check-outs without prior approval incur $100 per hour).
• Guest Responsibilities: Guests must respect property policies, noise restrictions, and water conservation guidelines.
• Event Bookings:
  • 2025 Events: 50% deposit required at booking. Balance due 60 days prior.
  • 2026 & Beyond: $5,000 non-refundable deposit required, transferable to another date (subject to availability).
  • Payment Milestones for Events & Weddings:
    • 9 months prior: 50% deposit due.
    • 60 days prior: Full payment required.
    • Bookings within 60 days: Full payment required at the time of booking.
• Security Deposit: A $10,000 pre-authorization is required for full Sun Ranch buyouts and commercial photography bookings, refundable within 7 days post-event, minus any damages or outstanding charges.

3. CANCELLATIONS & DATE CHANGES

• Full Ranch Buyouts & Event Bookings:
  • No cancellations permitted.
  • Date changes allowed up to 90 days before arrival, subject to availability.
  • Changes within 60 days incur a 20% surcharge.
• Single Room Bookings:
  • Cancellations & date changes allowed up to 14 days before arrival.
  • After this period, deposits are non-refundable.
  • If cancelled at least 48 hours before arrival, a 12-month credit will be issued.
• All changes must be confirmed in writing via [email protected].

4. EVENT POLICIES & GUEST NUMBERS

• Events are capped at 20 per year and must follow strict policies.
• Maximum 150 guests for events.
• Non-staying guests must arrive/depart via a 56-seater event coach.
• Private events, photoshoots, and client tours may occur, limiting access to certain areas.
• No fireworks, helicopters, or high-impact activities permitted.

5. NOISE POLICY & RESTRICTIONS

• STRICT NO-PARTY POLICY – Sun Ranch is a wellness retreat, not a party venue.
• Noise restrictions:
  • 9 PM – 10 PM: Quiet wind-down period.
  • 10 PM – 10 AM: STRICT no-noise policy.
  • Event music: Limited to acoustic soloists, duos, or low-amplified music.
• Sound monitoring equipment will track noise levels.
• Guests engaging in excessive noise will be asked to leave immediately—no refunds.

6. GUEST & VISITOR POLICIES

• Maximum 34 guests at full capacity.
• Each guest may have 1 visitor during designated hours (prior approval required for additional guests).
• Visitors must depart by 9 PM

7. PROPERTY USE & MAINTENANCE

• Sun Ranch is a 55-acre retreat requiring regular maintenance (gardening, repairs, landscaping). Minimal disruptions may occur.
• Water Conservation: Sun Ranch operates entirely on tank water—guests must take short showers and limit laundry use.
• Wildlife Awareness: The property is home to native wildlife, including snakes—please respect animals and notify staff of sightings.

8. POOL CLUB & COMMUNAL SPACES

• Pool Club Hours:
  • Spring/Summer: 10 AM – 6 PM
  • Autumn/Winter: 10 AM – 4 PM
• Pool Club Rules:
  • Complimentary for staying guests.
  • Open to the local community for a paid 3-hour access period.
  • No personal music or speakers – music is curated by Sun Ranch staff.
  • No glass allowed in the pool area.

9. OPENING HOURS & GUEST ACCESS

• Rambler Longhouse:
  • Spring/Summer: 7 AM – 9 PM
  • Autumn/Winter: 7 AM – 7 PM
• The Lair & Whiskey Lounge: Locked and not accessible after hours.

10. FAMILY & PET POLICY

• Children:
  • Children under 12 are not allowed in the Rambler Longhouse outside breakfast hours (7:30 AM - 9:30 AM).
  • Parents are responsible for supervising children at the dam and Go Easy Wellness space.
• Dogs:
  • Well-behaved dogs are allowed to stay in our Barns with prior approval and an accommodation fee of $150
  • Dogs must not be aggressive toward humans or livestock.

11. ALCOHOL & BYO POLICY

• Sun Ranch is a licensed venue—BYO is not permitted anywhere on the property.
• Wine & beer are available for purchase at The General Store (Rambler Longhouse).

12. SMOKE-FREE POLICY

• Sun Ranch is 100% smoke-free.
• Smoking within the property will incur a full night’s charge.
• Any false fire alarm activation due to smoking will result in guests covering the cost of the fire brigade.

13. EV CHARGING POLICY

• EVs cannot be charged at the barns due to the off-grid system.
• Guests may request EV charging at the Rambler Longhouse.
• Tesla Supercharger station is 12 minutes away at Byron Bay Wildlife Centre.

14. DAMAGE, THEFT & LIABILITY

• Guests assume all risks associated with outdoor activities, terrain, and wildlife.
• Sun Ranch is not responsible for lost or stolen items.
• Registered guests are responsible for any damages or theft during their stay.
• Any necessary charges will be processed to the credit card on file.

15. COMPLAINTS POLICY

• Guests should report any issues immediately to Sun Ranch staff.
• Unresolved complaints must be submitted in writing within 14 days after departure.

16. FORCE MAJEURE

• Sun Ranch is not liable for cancellations or disruptions due to:
  • Natural disasters
  • Government restrictions
  • Pandemics
  • Extreme weather
• In such cases, Sun Ranch will work with guests to reschedule, but refunds are not guaranteed.

17. ACCEPTANCE OF TERMS

• Securing a reservation implies acceptance of these Terms & Conditions.

Sun Ranch acknowledges the Arakwal People of the Bundjalung land, the traditional custodians of the country on which we work.
